Purpose and lawful basis for processing

We collect and process Account data in order to create and maintain your Account and provide you with the associated Services. The lawful basis for processing your Account data is Article 6(1)(b) of the GDPR (performance of a contract). Where we process your data to personalize the Services and improve the product based on usage patterns and survey responses, we rely on our legitimate interest under Article 6(1)(f) of the GDPR. Where you have opted in to marketing communications, the lawful basis is your consent under Article 6(1)(a) of the GDPR.

We process data submitted through the Calculator Builder in order to generate and save your custom calculators and to improve the Calculator Builder tool. The lawful basis for processing data to provide the service is Article 6(1)(b) of the GDPR (performance of a contract). The lawful basis for processing data to improve our Calculator Builder is our legitimate interest under Article 6(1)(f) of the GDPR.

We may also process your personal data in order to secure, defend, or pursue claims, in which case the lawful basis for the processing is our legitimate interest under Article 6(1)(f) of the GDPR.

What do we need and why do we need it?

When you register an Account, we collect your first name, last name, username, and email address. If you register via a third-party authentication provider (Google or Apple), we receive your email address and your first name and surname; the surname is not always provided by the provider, depending on the privacy settings configured by the User. Passwords are stored in encrypted form. After registration, you may be asked to complete a short optional onboarding survey regarding your professional background and intended use of the Services; this information is used for product development and profiling (please see below).

When you use the Calculator Builder, we collect the prompts you submit to the AI feature, the resulting calculator code and configuration, and metadata about your created calculators (name, creation date, unique URL). Prompts submitted to the AI feature are stored in our database. Please do not include personal or confidential data in your prompts.

How does the AI feature work?

The Calculator Builder AI combines your prompt with a system prompt developed by Omni Calculator. The combined input is processed by OpenAI in order to generate calculator logic. The prompts you submit are technically assigned to the calculator they generate, and each calculator is linked to your Account; in this way, prompts are associated with your user profile.

Public availability of User Calculators

Each calculator you create is assigned a unique URL and is accessible to users via this URL, including unregistered users. Please be aware of this before including any information in your calculator that you would not wish to be publicly visible.

Profiling

We may use information from the onboarding survey and Account usage data to create a profile of your preferences and interests in order to personalize the Services and display relevant content. This profiling does not produce legal or similarly significant effects. The lawful basis is our legitimate interest (Article 6(1)(f) GDPR) or, where required, your consent.

How long do we keep your data?

We retain your Account data for as long as your Account is active. Upon Account deletion, your personal data is deleted in accordance with our retention schedule, subject to any legal obligations requiring us to retain certain data for longer periods.

AI prompts and calculator data are retained for as long as your Account is active. All User Calculators and associated data are permanently deleted upon Account deletion, subject to reasonable backup retention periods.

If you have agreed to receive marketing information, we will retain your data until you withdraw it. Please note that withdrawal of the consent does not affect the legality of the previous processing conducted on its basis.

Account deletion

You may delete your Account at any time via the Account settings on the Website. Alternatively, you may send a request to deletemyaccount@omnicalculator.com from the email address associated with your Account. We will delete your Account and the associated personal data and notify you once complete.

Who is the recipient of your personal data?

The recipients of your personal data processed via your Account will be our trusted subcontractors – IT service providers in the field of data hosting and business mail services. The tools that currently process Users' data in connection with Account functionality are: Survicate, Microsoft Clarity, Product Fruits, and Google Analytics. In connection with the Calculator Builder, your data (including the prompts you submit) is processed using the following providers:

Amazon Web Services (AWS)
We use Amazon Web Services (AWS) to provide the hosting infrastructure on which the Calculator Builder operates and on which the data you submit (including your prompts) is stored. The service is provided by Amazon Web Services EMEA SARL, with its registered office at 38 Avenue John F. Kennedy, L-1855 Luxembourg. We carry out activities in this area based on our legitimate interest, consisting of ensuring the technical operation, hosting, and security of the Calculator Builder.

Your data may be transferred outside the European Economic Area, in particular to the United States, where the parent company of AWS is located. Such transfers take place on the basis of Standard Contractual Clauses (SCCs) approved by the European Commission or Data Privacy Framework, which guarantee an adequate level of protection of your personal data.

OpenAI
We use OpenAI to process the prompts you submit to the Calculator Builder in order to generate the logic of your User Calculator. The service is provided by OpenAI Ireland Limited, with its registered office at 1st Floor, The Liffey Trust Centre, 117–126 Sheriff Street Upper, Dublin 1, D01 YC43, Ireland. We carry out activities in this area based on our legitimate interest, consisting of providing and developing the Calculator Builder functionality.

Your data may be transferred outside the European Economic Area, in particular to OpenAI's affiliates in the United States. Such transfers take place on the basis of Standard Contractual Clauses (SCCs) approved by the European Commission, which guarantee an adequate level of protection of your personal data.

We use Google BigQuery, which creates a copy of data from our infrastructure that we then use for further processing and analysis. We carry out activities in this area based on our legitimate interest, consisting of analyzing data in order to improve the Calculator Builder and our Services.

Your right of access

You have the right to ask us for copies of your personal information. This right always applies. There are some exemptions, which means you may not always receive all the information we process.

Your right to rectification

You have the right to ask us to rectify information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete. This right always applies.

Your right to erasure

You have the right to ask us to erase your personal information in certain circumstances.

Your right to restriction of processing

You have the right to ask us to restrict the processing of your information in certain circumstances.

Your right to object to processing

You have the right to object to processing if we are able to process your information because the process forms part of our legitimate interests.
